Why digital workers in document management?

A DMS stores documents securely, in a structured way and audit-proof – but it does not decide, does not check and does not approve. That is exactly where digital workers come in: they turn a stored document into a completed case, while keeping archiving, retention periods and compliance intact.

From document to completed case

Invoice, contract, application, incoming mail: the document is never the goal, it is the trigger. Without a process it stays a file that someone has to open, assess and forward.

A digital worker recognises the situation, decides by rules, collects approvals, generates documents and escalates to a human when needed – arveo holds the file, MR.KNOW runs the case on top of it.

Capture instead of retype

The effort sits at the very beginning: reviewing documents, retyping fields, looking up master data, reconciling line items. That ties experienced clerks to routine work.

AI-based extraction in the arveo document processor reads header and line data, matches it against master data and presents doubtful cases for review with field preview and magnifier. People decide the exception, not the standard case.

Compliance runs inside the process

GoBD, GDPR, retention periods, four-eyes principle, evidence for auditors: in an ECM context traceability is not an add-on, it is the precondition.

Processes modelled in BPMN 2.0 are documented and versioned, every step is logged, and filing happens audit-proof in arveo. Whatever is audited can be evidenced – without reconstructing it after the fact.

Retention and deletion are processes

Commercial and tax retention periods of six and ten years meet GDPR deletion obligations – for applicant data, for instance. A folder structure alone cannot keep the two apart.

The digital worker runs deadlines as a rule set: it tags documents on filing, reminds before expiry, blocks deletion during ongoing audits and triggers deletion as soon as no retention obligation stands in the way.

Existing systems stay where they are

ERP, HR system, line-of-business applications, Microsoft 365 – a grown landscape cannot be swapped out for a document project.

arveo is built headless and ships with arveo connect: more than 300 ready-made interfaces, among them M365 (Teams, SharePoint, OneDrive) and SAP ArchiveLink. MR.KNOW orchestrates on top as a data hub via REST/SOAP, OpenAPI and message bus.

A platform, not an isolated tool

Most of the effort goes once into the shared base: data connectivity, extraction, rule and document engine, validation and completeness logic, audit-proof filing.

It is built once – every further digital worker is mostly configuration and therefore costs a fraction of the first one. Operated in the cloud or on-premise in your own data centre.

Typical digital workers around documents and files

Each one can be introduced on its own – and grown step by step into a digital team. They all share the same base: capture, rule set, document engine and audit-proof filing.

  • INVOICE ASSISTANT – incoming invoices and billing Captures incoming invoices including e-invoices (ZUGFeRD/XRechnung), checks them factually and arithmetically, assigns cost centres and G/L accounts taken from the leading system, handles split postings with line-based approval and the four-eyes principle – and files the document audit-proof at the end. Up to 72 % automation.
  • CONTRACT ASSISTANT – contract files and deadlines Accompanies contracts from drafting through approval and electronic signature to renewal, notice period and archiving. The contract file stays complete, versioned and ready to answer questions – even years later in an audit. Up to 62 % automation.
  • MAILROOM ASSISTANT – inbound mail and classification Captures paper mail, email and portal submissions, reads them via OCR, classifies them by document type, assigns them to the right case or file and forwards them audit-proof. The classic entry point, because it feeds the intake for every other digital worker. Up to 80 % automation.
  • HR ASSISTANT – personnel files with deletion deadlines Handles applications, onboarding and offboarding, maintains the digital personnel file and processes absences and travel expenses. Particularly relevant in a DMS context: applicant data is subject to deletion deadlines while personnel records carry retention obligations. Up to 60 % automation.
  • E-invoicing obligation – inbound and outbound Receipt, validation and audit-proof filing of structured invoice formats on the inbound side; generation, signing and dispatch on the outbound side. Both directions run as a process, not as an island next to the ERP.
  • Supplier management and vendor rating Guided self-disclosure, collecting certificates and evidence, monitoring deadlines, documenting the rating – including the evidence required by the German Supply Chain Act. Everything lands traceably in the same file.
  • Audit and compliance cases with a file reference NIS2 reporting paths, ISMS processes, whistleblowing, risk management and internal controls, automated audit reports: cases that produce documents, carry deadlines and have to be filed audit-proof afterwards.
  • Case handling in public administration, universities and research Citizen enquiries, applications, university processes and digital case files – the same mechanics of intake, classification, decision and filing, only with a different line-of-business system behind it.
  • Productive in weeks rather than months Discovery workshop, a working pilot for one concrete use case, rollout to further sites or tenants. Further digital workers are then onboarded rather than rebuilt.

About EITCO and arveo

European IT Consultancy EITCO GmbH, based at Potsdamer Platz in Berlin, develops the arveo content services platform – a flexible, cloud-based content services platform for modern document management, described by EITCO as "ECM of the next generation".

arveo creates a central, secure platform for all corporate content – consistently following a best-of-breed approach and therefore without vendor lock-in. The architecture is headless and cloud-native: microservices and micro frontends on Kubernetes following Cloud Native Computing Foundation standards, addressable through a REST API, operated as SaaS or on-premise.

Together with MR.KNOW, this document management meets a no-code BPM platform with AI. arveo captures, manages and archives audit-proof; MR.KNOW drives the case on top and connects ERP systems, line-of-business applications and portals. DMS and process combine into a finished digital worker – instead of yet another toolbox.

Frequently asked questions

The essentials about digital workers in a DMS and ECM context and about the potential analysis.

What is a digital worker?

A digital worker is neither a chatbot nor a single script, but a modelled process: it recognises a situation, decides by rules, executes, produces documents and escalates to a human when required. MR.KNOW distinguishes three levels — Digital Assistant (rule-based, BPMN 2.0), Digital Agent (AI-supported, also handles unstructured data) and Digital Worker (autonomous AI orchestration across system boundaries).

What happens during the potential analysis?

You upload a job description, job ad or requirements document as a PDF, or enter the text directly. Tasks, workflows and the achievable degree of automation are analysed; you receive the assessment by email, usually within a few minutes. The analysis is free of charge and without obligation.

What does a digital worker add that a DMS alone cannot do?

A document management system captures, manages, versions and archives documents audit-proof — but it does not decide, does not check and does not collect approvals. A digital worker builds on exactly that: it extracts the document, matches it against master data, applies the rule set, runs approvals and the four-eyes principle, hands over to the ERP or line-of-business system and files everything audit-proof at the end. The DMS remains the file; the process sits on top.

How do arveo and MR.KNOW work together technically?

The flow has five stages: capture (scan, import, email and portal intake), preparation (classification and extraction, handover as XML plus image file), compliance (audit-proof filing in the arveo archive server, which returns the document ID), process (checking, account assignment and approval in MR.KNOW following BPMN 2.0) and systems (handover to the ERP or line-of-business application, with clearing information flowing back into the history). The coupling is service-oriented via REST/SOAP, OpenAPI, connectors and a message bus.

How are archiving, retention periods and deletion obligations handled?

Deadlines are run as a rule set inside the process, not as a folder structure. On filing, every document is assigned its retention class — six or ten years under German commercial and tax law, for example — the process reminds before expiry, blocks deletion during ongoing audits and triggers deletion as soon as no retention obligation stands in the way. That keeps retention obligations and GDPR deletion duties, which conflict for applicant data, demonstrably apart. Filing itself happens GoBD-compliant and audit-proof in arveo.

Do digital workers pay off?

The benefit arises twice: manual effort goes down, and at the same time error rates and throughput times fall — in invoice processing early-payment discount deadlines are secured on top. The decisive factor for profitability is reuse — most of the effort goes once into the base of data connectivity, extraction, rule and document engine. Every further digital worker is mostly configuration and therefore costs a fraction of the first one.

What about data protection and traceability?

Processes are documented and versioned, prompts are managed in a vault, and the AI models are interchangeable — there is no vendor lock-in. Operation is GDPR-compliant and multi-tenant, either as a high-security SaaS cloud or on-premise in your own data centre. Decisions therefore remain auditable, which becomes an advantage precisely in regulated environments.

Do existing systems have to be replaced?

No. BPMN 2.0 orchestration sits above the existing systems and integrates ERP, CRM, HR systems or line-of-business applications through open standards, APIs and connectors instead of competing with them. arveo contributes more than 300 ready-made interfaces, among them Microsoft 365 and SAP ArchiveLink. That protects existing investments — regardless of how individual vendors evolve.

Does a digital worker replace employees?

No. Digital workers take over the recurring routine share that ties up experienced staff — around the clock and without fluctuations in quality. They close gaps caused by the skills shortage rather than cutting jobs.

What is EITCO's role with arveo?

With the arveo content services platform, EITCO contributes the document management: AI-supported capture and classification, GoBD-compliant audit-proof archiving and more than 300 ready-made interfaces from arveo connect. MR.KNOW provides the no-code BPM platform based on BPMN 2.0, the digital workers and the operation. Document management and process automation combine into one end-to-end solution instead of yet another toolbox.
